The Strategic Quote Coordinator manages and coordinates Long-Term Agreements and Strategic Quotes by collaborating closely with Sales and Product teams to ensure timely and accurate quoting processes. The role involves tracking deadlines, facilitating communication, supporting post-award contract management, and maintaining data accuracy with advanced Excel skills. This position requires strong organizational, problem-solving, and communication abilities within a fast-paced, collaborative environment supporting military-related contracts.
The Strategic Quote Coordinator plays a key role in supporting our Long-Term Agreement (LTA) and Strategic Quote processes. In this role, you’ll partner closely with our Sales and Product teams to ensure accurate, timely, and well-coordinated quoting activities that support both our customers and the business.
What You'll Do (Other duties as assigned)
LTA Quote Preparation Responsibilities
- Coordinate and process customer Long Term Agreements and Strategic Quotes.
- Drive LTA process with Sales and Product teams.
- Set up Conference call with Sales and Product teams once you have a completed LTA template from sales to discuss parts list, T's and C's, due date, special instructions, competition, and quote strategy.
- Upload and distribute the LTA to PM team.
- Set due date from product to sales allowing time for strategic discussions prior to submitting quote to customer.
- Track LTA due dates with reminders to sales and product.
- Coordinate a mid-point update call with sales and product to understand progress and ability to respond to the customer on time.
- Communicates critical information to Sales and Product Teams.
Post Award Responsibilities:
- Upload the contract, work with PMs to ensure pricing is valid and all vendor contracts are loaded in the system.
- Add award copy to LTA folder.

Education
- Associate degree or minimum of six months to one-year related experience.
- Or previous 3+ years in a similar role or related experience.
Skills/Requirements
- Must be a US Citizen due to US Navy Contractual Agreements.
- Must be able to report to Lumberton, NJ office during scheduled in-office workdays.
- Proficient computer skills, especially Microsoft Excel (Advanced).
- Excellent written and verbal communication skills.
- Able to troubleshoot data issues and correct errors in complex formulations within Excel reporting.
- Able to identify the root cause and problem-solving complex issues.
- Able to think outside of the box to create solutions to department needs utilizing all available software.
- Able to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
- Must be able to manage time effectively, meet personal goals, and work effectively with other members of the team.
- Must be proactive, organized and detail oriented.
- Highly motivated to identify and address issues and follow through with completing total quote.
- Ability to handle multiple tasks and projects simultaneously while working in a fast-paced environment.
- Able to work with little supervision.
- Data entry skills a plus.
Physical Requirements
While performing the duties of this job the employee is often required to stand, walk, and sit; talk or hear, both in person and by telephone and computer; use computers, read, write, type, use fax machines, use copy machines, file paperwork, use telephones, and utilize written and oral communication to interact with clients, co-workers, and customers. Use hands to finger, handle or feel objects or controls; reach with hands and arms. Regularly required to stoop, kneel, bend, crouch.
Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Substantial movements (motions) of the wrists, hands, and/or fingers (paperwork, typing, using mouse/keyboard).
