The Event Operations Specialist is responsible for managing all logistical and operational aspects of live events and conferences, including onsite coordination, supplier communication, and inventory management. The role requires frequent travel, strong organizational skills, and the ability to work in a hybrid environment supporting both physical and digital event tasks. The position also involves data tracking, documentation, and briefing onsite staff to ensure seamless event delivery.

Location: Boston, MA (Hybrid | Frequent Travel Required)
This is a hands-on, high-impact role for someone who loves live events and operational excellence. You’ll be at the center of onsite conference delivery, while also owning the behind-the-scenes preparation that makes every event seamless.

Requirements & Qualifications:
- Experience supporting live events, conferences, or large-scale programs
- Ability and willingness to travel frequently for multi-day onsite events
- Strong organizational and logistical coordination skills
- Comfortable working in a hybrid role combining physical and digital tasks
- Ability to communicate effectively with remote, international team members
Must Haves:
- Managing onsite event logistics including registration flow, room turns, AV coordination, and supplier communication
- Preparing, packing, and delivering event kits to venues ahead of live events
- Maintaining a clean, audit-ready event storage and packing space
- Conducting inventory audits, charging and maintaining event tech, and tracking consumables
- Printing, assembling, and labeling all onsite materials such as badges and signage
- Uploading and organizing event photos, videos, and documents using strict naming conventions
- Updating attendee data, no-shows, and delivery feedback in Salesforce and internal reporting tools
- Performing venue walkthroughs and documenting operational details for future use
- Briefing contracted onsite staff on expectations and responsibilities
Preferred Background & Skills:
- Prior experience working conferences or multi-day professional events
- Familiarity with Salesforce or other CRM systems
- Experience coordinating with venues, AV teams, or third-party suppliers
- Basic floorplan diagramming or spatial planning exposure
- Strong problem-solving skills in fast-moving, live environments
- Comfortable working independently with minimal supervision
