The Fleet Administrator supports the management and operation of a national fleet by maintaining accurate data, ensuring compliance with regulations, and coordinating maintenance and vendor interactions. This role handles documentation, tracks service intervals, and assists with fuel card management to facilitate smooth fleet operations. The position requires strong organizational skills, attention to detail, and experience with fleet or logistics administration.
Compensation: $22.00-$25.00 per hour
Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m. on-site position
ARS is seeking a detail-oriented and proactive Fleet Administrator to support the efficient operation of our national fleet of vehicles and equipment. Reporting to the Fleet Director, this role will be responsible for coordinating administrative tasks related to fleet data management, compliance tracking, maintenance coordination, and vendor support.

Responsibilities:- Maintain and update the fleet asset database for all vehicles and equipment, from acquisition to disposal
- Ensure data accuracy across multiple systems and reports
- Track, organize and maintain fleet-related documentation, including titles, registrations, insurance certificates, inspection records, and lease/finance agreements
- Ensure compliance with DOT, OSHA, and other local/state/federal regulations
- Assist in tracking service intervals and liaising with national maintenance provider and internal site resources on issues, delays, and non-compliance
- Assist field with all fuel card issues, such as new pins, new cards, fraud, etc.
- Other duties as assigned
- 2+ years of experience in an administrative or coordination role, preferably in logistics, maintenance, or fleet management
- Familiarity with fleet management systems, asset tracking tools is a plus
- Microsoft Office Suite (especially Excel) proficiency is required
- Strong attention to detail and organizational skills
- Ability to multitask in a fast-paced environment
- Clear communication skills and comfort working with cross-functional teams
