We’re seeking a hands-on Event Operations Specialist to support the smooth delivery of conferences across the U.S. This hybrid role combines onsite event execution with off-week preparation, packing, and organizational tasks at our Boston location. Qualifications
- Background in event execution, conference support, or large program operations
- Willingness and availability to travel regularly for multi-day events
- Excellent coordination and organizational abilities
- Comfortable balancing hands-on physical tasks with computer-based responsibilities
- Strong communicator who can work effectively with team members in other countries
Role Essentials
- Oversee onsite operations such as attendee check-in, room resets, AV setup, and vendor interaction
- Assemble, prepare, and transport all event materials and kits ahead of each show
- Keep the Boston storage and packing area tidy, organized, and ready for audits
- Manage inventory: restock supplies, maintain equipment, and verify tech is charged and functional
- Produce printed materials, badges, labels, and signage for upcoming events
- Upload, sort, and label photos, videos, and documentation following strict organizational standards
- Record attendee updates, no-show counts, and post-event notes in Salesforce and internal tools
- Conduct site visits, gather operational details, and update venue information
- Provide guidance and expectations to temporary onsite staff
Preferred Experience
- Experience supporting multi-day professional events or conferences
- Working knowledge of CRM tools such as Salesforce
- Prior collaboration with venues, suppliers, or AV partners
- Ability to read or develop simple room layouts or floorplans
- Strong troubleshooting skills in dynamic, fast-paced environments
- Comfortable working autonomously with minimal oversight
